1. Who We Are

AI Sheet Converter ("we", "us", "our") is an AI-powered Excel column mapping service accessible at aisheetconverter.com. We are committed to protecting your data and being transparent about how we use it.

2. Data We Collect

Files You Upload

When you use the converter, your input file and output template are transmitted to our servers solely to perform the conversion. Files are deleted immediately after the conversion is complete. We do not store, retain, or analyze your file contents for any other purpose.

Account Data (if you sign up)

Authentication is handled by Clerk. We collect your email address and display name to manage your account and subscription. No passwords are stored by us — Clerk handles this securely.

Saved Templates

If you choose to save a template, we store only the column mapping rules (anonymized structural data) — e.g., "Art.nr maps to SKU". We never store the actual cell content, customer records, or business data from your sheets.

Payment Data

Payments are handled by Stripe. AI Sheet Converter never sees or stores your card details. Stripe stores billing information according to their own privacy policy and PCI-DSS compliance.

3. How We Process Your Data with AI

The column mapping AI is powered by Anthropic's Claude API. When you perform a conversion, a portion of your file (column headers and sample rows) is transmitted to Anthropic's servers located in the United States for processing.

This transfer is governed by Anthropic's Data Processing Agreement (DPA) and Standard Contractual Clauses (SCCs) as required under GDPR Article 46. Anthropic does not use API inputs to train their models and does not retain your data beyond the API call.

4. Legal Basis for Processing (GDPR)

We process your data on the following legal bases:

  • Contract performance (Art. 6(1)(b)): Processing your files is necessary to deliver the conversion service you requested.
  • Legitimate interest (Art. 6(1)(f)): Fraud prevention and service security.
  • Consent: For optional marketing communications (if applicable).

5. Data Retention

  • Uploaded files: Deleted immediately after conversion (within seconds).
  • Saved templates (mapping rules only): Retained as long as you have an active account, or until you delete them.
  • Account data: Retained until you delete your account.
  • Payment records: Retained by Stripe per their legal obligations.

6. Your Rights (GDPR)
